A written AI use policy closes that gap. And it doesn't need to be a legal document. What it needs to do is give people a clear answer to two questions: which tools are approved, and what data can they use with those tools?

The most useful thing any policy can do is give employees a fast, reliable way to decide whether a piece of data is safe to share with an AI tool. A simple three-tier system works well: green for go, yellow for proceed with care, red for stay out.
The categories that end up in the red zone are predictable: personal data, salary records, legal documents, anything related to hiring or performance. The yellow zone is where most of the real-world questions live, and that's where a concrete reference table saves people from having to guess.
